Club and Event Policies

Vanguard club nights run every week on a Thursday, starting at 6pm, we guarantee an opponent as long as you arrive before 7pm.

We offer:

• Weekly pickup games for Warhammer 40,000 at 2,000 points.
• Fortnightly pickup games of Horus Heresy at 2,500 points.
• Other game sizes and systems on request, please ensure that you ask in advance on the club discord.
• You do not need to be a club member to attend club nights, although it is recommended.
• You can of course attend club night having already arranged a game and opponent.
• You DO NOT need to book a table directly with the venue if you are attending club night.
• You DO need to pay for your table with the venue on the nights you attend club nights.

New and novice players are welcome at Vanguard club nights and events, should you be seeking an “intro” or teaching game we request that you reach out to the club in advance, this ensures that we can be suitably prepared to offer an intro/teaching game.

There is no Battle Ready requirement for playing at club nights

For Warhammer 40,000 competitive events, those that are not considered fully Battle Ready will not gain the 10 Victory Points for it at the beginning of the battle. All players should attempt to have their forces painted to a Battle Ready standard. 

Key considerations for conversions, kit bashes and proxies are:

• Conversions should be of an appropriate size for the rules used (i.e. not using a Rhino chassis for a Land Raider).
• Base size should be those detailed in the Base Size Guide found in the latest Approved publication for the game system.
• Weapons modelled should be consistent in appearance (i.e. all lascannons should look the same) across the army.
• If in any doubt or if your army is highlight converted, and to avoid any potential issues at the time of the event, please email the club with any questions and pictures of examples ahead of the event, so the event organiser can provide a ruling.
• To be deemed Battle Ready, Your army must be fully painted and based with a minimum of 3 colours used in addition to the primer colour.

Thankfully we’ve never had issues at our events but any harassment, bullying, poor sportsmanship or unpleasant behaviour will not be tolerated. We hope that any issues would be resolved between players at the table but if you feel uncomfortable or unable to resolve issues, please inform a TO as soon as possible.

The TO will usually provide a warning and guidance on what needs changing. If this warning is not heeded, or in cases of serious deviations from expected standards of behaviour, the TO may force a player to withdraw from the event and venue. Such decisions are at the TO’s complete discretion and are final on the day.

Should you be unable to attend a ticketed event, we offer full refunds more than 30 days before the event

You may transfer/re-sell tickets (at face value)

Whilst we will make reasonable efforts to support recording/streaming of games, we give no assurance that this will be possible, and we do not make any promise that recording/streaming is/will be allowed, any recording of streaming shall be in accordance with the following:

• Attendees must confirm with the venue that recording or streaming is permitted before setting up any equipment.
• Where the venue has its own conditions (e.g. no tripods, no capturing other patrons), those conditions take precedence and must be followed.
• Content creators are responsible for checking this in advance.
• Any recording equipment must not obstruct walkways, other tables, or venue operations.
• Content creators intending to record or stream at a club event must notify an organiser at the latest 1 week before the event.
• This allows organisers to make any necessary arrangements.
• The club reserves the right to ask an attendee to pause or cease recording if it is causing disruption or conflict.
• Explicit consent must be obtained from your opponent before recording begins. A simple verbal “are you happy for me to record/stream our game?” is sufficient, but it must happen.
• Consent must be freely given, and a “no” must be accepted without question or complaint.
• If an opponent declines, that decision is final for that game.
• If streaming live, make your opponent aware that the game may be viewed in real time by others.
• Opponents may withdraw consent at any point during a game, at which point recording must stop promptly.
• Content must not be used to mock, demean, or misrepresent opponents or the club.
• The club’s name and branding may only be used in content with organiser approval.
• Content creators remain individually responsible for any content they publish and must comply with applicable platform rules and laws.
• Failure to follow this policy will result in being asked to stop recording immediately and could be treated as a conduct matter under the club’s sportsmanship policy.

Unless specified in the event pack, the rules cut-off will be midday of the Monday before the event

Once lists have been made visible on BCP, no further entrants can sign up for the event.
